Fulfillment from Nova Post

Rules for the provision of logistics services fulfilment.

These instructions outline the procedure for accepting goods into the fulfillment warehouse and are mandatory for all partners.

   General Requirements

      All deliveries must be pre-arranged with the Contractor (date and time).
   2. 1.2
      Prior to shipment, the partner is required to send or transmit via API:

      • a list of goods (SKU),
      • quantity per item,
      • delivery format (by piece / by box / by pallet),
      • waybill number.
   3. 1.3
      The goods must be:

      • properly packaged;
      • labeled (item number / SKU);
      • undamaged;
      • in accordance with the declared quantity.

      In the event of discrepancies, a discrepancy report shall be drawn up.

   Acceptance of goods by the piece
   
   Applies to small shipments where a box contains more than 1 SKU or a wide
   range of items.
   
   Requirements:

   • Each unit must be labeled (with an SKU sticker or barcode).
   • The quantity must match the previously provided list.

Acceptance fee: 5 UAH/unit.

   Acceptance of goods by box
   
   Requirements:

   • Each box must have unique labeling that differs from the SKU barcode.
   • The goods inside the box must be organized by item.
   • During the acceptance of boxes, a random check of the quality and completeness of the contents is conducted. For such boxes, acceptance is carried out on a per-item basis.
   • All boxes are inspected only for external damage. If there is no damage, we accept them in whole packages. If there is damage — all damaged units are removed and accepted individually.
   • Unopened packages may contain a negligible percentage of hidden defects that were not detected by the random inspection method.

Box accounting rule:

• 1 box = 1 SKU.
• A standard number of units per box is established for each SKU.
• Delivery to the warehouse must be made in accordance with this multiple.

Handling of quantity discrepancies:

• If the actual quantity of goods in a box differs from the standard, the goods will be
  accepted by dividing them into boxes and individual units.

• If the quantity of goods in a box is less than the standard, the box is not formed — the goods are accepted individually.

Acceptance fee: 5 UAH/box.

   Pallet Acceptance
   
   Requirements:

   • The pallet must be securely wrapped (stretch film).
   • The pallet must be labeled.
   • During pallet acceptance, a random inspection of some boxes is conducted for quality and completeness. For such boxes, acceptance is carried out piece by piece.
   • All pallets are inspected only for external damage. If there is no damage, we accept them as complete packages. If there is damage, all damaged units are removed and accepted individually.

Acceptance fee: 5 UAH/pallet.

   Additional terms

   • Damaged or unmarked goods may be accepted only after additional approval.
   • If additional sorting or labeling is required, a separate fee applies.
   • Acceptance time depends on the volume of the shipment.

• large household appliances
• large-sized goods (beds, armchairs, bathtubs, etc.)
• explosive and fire hazardous goods (fireworks, spirit antiseptics, etc.)
• food products (perishable goods)
• weapon, drones
• goods lacking packaging or barcodes
• fragile goods (glass)

Goods must have high-quality individual packaging to be accepted at the Nova Post fulfillment warehouse.

A perfect option would be the original packaging, meaning that the goods are packaged directly by the manufacturer.

Unless such packaging is available, the customer must independently provide individual packaging of the goods. Doing so ensures their safety during transportation and delivery to the buyer.

Labeling implies the presence of a barcode with a numerical value and additional textual content indicating the model/stock number on the packaging of the goods.

If such labeling is missing or blurred, we will make the labeling ourselves (with extra charge).

Labels are generated for each item of goods. For instance, if your order contains 5 identical items, 1 barcode for them and 5 identical labels will be generated.
