An international shipment request can be created:

Getting ready to ship

Registering your shipment

  1. 1
    Register an international shipment* in the business office or via API** or by submitting an application form. Specify the shipping method:
    • From the address
    • From the branch

      * The maximum number of places per one shipment is 5.
      ** API options must be configured for addressed pickup and document printing.

    Get the shipment ready and packed according to the packaging standards. You can buy the package at the branch or in our online store.
  3. 3
    Pack the accompanying documents in a DocuFIX and attach them to the shipment to prevent them from being damaged or lost during transportation.
  4. 4
    Wait until the support team contacts you to verify the shipment.
  5. 5
    Once the verification is successful:
    • Print out the completed ‘international documents’ (invoice, international express waybill), sign them and attach them to the accompanying documents;
    • Print out the 100x100 label and attach it to the shipment.

      You can print all these documents in your business account or API after verification.

Important! Make sure you have collected a complete set of accompanying documents for international shipment. Otherwise, your shipment will be suspended during customs control. For commercial shipments, add your own invoice and other documents in international format, in two languages (Ukrainian and English) and with the details of the parties.

  • Shipment verification

    Once a Nova Post customer service employee receives an application for an international shipment, he or she clarifies the shipment data and validates the information entered in the application to avoid errors when filling it out. For example: transliteration of the recipient's and sender's data, transliteration of the shipment description, accuracy of the recipient's address and zip code, the sender's and recipient's data (phone and email should not be the same, etc.).

How to send

Once the shipment has been successfully verified, select a dispatch method and follow these steps:

  • If you send from the address

    1. 1
      Wait for the courier at the address. Please get your shipment and documents ready to provide everything for transportation right away. If there are further questions, the address service manager will call you to clarify them.
    2. 2
      Give the courier your packaged and labeled shipment. Please note that you must load shipments exceeding 30 kg into the courier's vehicle yourself.
    3. 3
      Give the courier the accompanying documents packed in the DocuFIX.

  • If you send from the branch

    1. 1
      Bring the packed and labeled shipment to the branch with a set of accompanying documents.
    2. 2
      Provide the operator with the verified international express waybill (MEN) number of the shipment.
    3. 3
      The operator must check the general description, dimensions and weight of the shipment.
    4. 4
      Inform the operator if additional packaging is required.

Trace your shipments with the tracking option.

Addressed pickup and international express shipment transportation services are added to the invoice for logistics services and paid according to the terms of the contract.

If the logistics services are paid for by the recipient (this option is available for the Nova Post countries of operation, except for Moldova and Romania, upon delivery to a branch), then services such as packaging or addressed pickup are still paid for by the sender according to the Terms of Service. However, international delivery services are paid for by the recipient. You can pay via the mobile app or at a branch.

Requirements for trays and pallets

Pay attention to the mandatory requirements for trays and pallets to speed up the processing of your shipments and avoid problems during transportation.

A tray/pallet for international shipment must be:

  • Plastic
  • Wooden with mandatory processing labeling (IPPC 15)

If the shipment consists of more than 1 place, each pallet must include a DocuFIX with a packing list.

Attention! The customer is responsible for palletizing, selecting, and purchasing a tray/pallet that meets international transportation standards.
